Payment terms & booking policy
These terms apply to every VitaEdge Aerial Solutions engagement and accompany your signed quote.
1. Payment schedule & amounts
1.1 Compensation. In consideration for the services provided, the Client agrees to pay the total sum agreed in the quote (plus HST).
1.2 Deposit. A non-refundable deposit of 50% of the total is due upon signing. Scheduling cannot take place until the deposit is received.
1.3 Milestone payments. The remaining balance is paid in installments where applicable: a portion at project milestone and the balance on completion.
2. Invoicing & due dates
2.1 Invoice issuance. Invoices are issued on completion of each milestone or on project completion.
2.2 Payment due date. The Client shall remit payment within 30 days of receiving the invoice.
3. Payment methods
3.1 Accepted methods. Interac e-Transfer, Visa, MasterCard, or a VitaEdge-provided payment link.
3.2 Processing fees. Any transaction or processing fees incurred are the responsibility of the Client.
4. Late payments & non-payment
4.1 Late fees. Invoices not paid by the due date incur a late fee of 1.5% per month (or the maximum permitted by law) on the outstanding balance.
4.2 Work stoppage. VitaEdge may suspend services and withhold deliverables until overdue invoices and accrued fees are paid in full.
4.3 Cancellation. If the Client cancels, the Client pays for all work completed to the date of cancellation plus the agreed cancellation fee.
5. Scheduling, weather & cancellation
5.1 Cancellations made more than 48 hours before a scheduled flight are refundable.
5.2 Cancellations within 48 hours are subject to a 50% booking fee.
5.3 Weather-related reschedules are complimentary — flights are only conducted in safe, compliant conditions.
6. Intellectual property & licensing
6.1 Ownership. VitaEdge retains copyright in all captured imagery until final payment is received in full.
6.2 Licence. On full payment the Client receives an unlimited licence to use the delivered imagery for marketing, documentation and internal purposes.
6.3 Portfolio use. VitaEdge may use non-confidential imagery for portfolio and marketing unless the Client requests otherwise in writing.
7. Compliance & safety
7.1 All flights are conducted by RPAS-certified pilots under Transport Canada regulations.
7.2 VitaEdge carries commercial liability insurance; a certificate is available on request.
7.3 The Client is responsible for site access, safety briefings and disclosing any flight restrictions.
